What is ProMISe?

ProMISe (Project Manager Internet Server) is the central data management system used by the EBMT. Users are able to enter and retrieve data directly over a secure Internet connection. All users access the same copy of the entire project, but users have the option to download their own centre database for reference purposes. The only software necessary is an Internet browser (there is nothing to download). When online, centres can access either the complete database for an overview of all EBMT data, or their centre database, to view and enter data for their own centre.

ProMISe Demo (Version 2)

If you would like to try ProMISe before requesting a password, a demo version is available on the server. There is nothing to download, you only have to access it online. Once you are sure your PC meets the requirements below, click on this link to access the ProMISe demo.

Select [Demo Session] from the list of session types, then click on [START SESSION]. This enables you to enter fake data, or create fake reports and frequency tables. Please feel free to spend some time experimenting and running through the screens.

System Requirements

To use ProMISe (version 2) your PC will need to meet a number of technical requirements:

Is your PC compatible? Click here and press [Run the Tests]

The test page contains full instructions and links for updating your computer.

Note on memory: the specification in the checker applies to generic Promise projects only. The EBMT database requires min. 256 MB for MED-A; 512 MB for full MED-AB

 Requesting access

Passwords to access ProMISe: MED-AB Project are issued by the Central Registry Office in London. Personal passwords are secure and each user should have their own individual username and password which are non transferable.

(NB: ProMISe passwords are separate from team passwords used to access protected areas of the web site).

There are two levels of access:

  • Data Entry: access to all functions: Data Entry; Statistical Reports; Patient Reports and Downloading Centre Data. Personal, non-transferable usernames and passwords will be assigned to those entering data on behalf of their team. All Data Entry passwords must be authorised by the Principal Investigator of that particular member centre. Please note that there may be only one Principal Investigator per member centre (=one CIC). If you are not sure who the PI of your group is, you may check it on the membership listing.
  • Data Download: as above but with Data Entry disabled. Individuals should apply for either data entry or data download; it is not necessary to apply for both.

To request a personal password, please download the application form of your choice. The Helpdesk will process your application - please send your signed form by fax or mail:

Access to patients given a prior HSCT in a different centre:

All data must be entered into the same patient record / UIC, even if a patient moves to another centre.

To assist this process, we have designed a data access request form* for centres to complete, enabling us to search the full database for existing registrations. On receipt of your signed form, we can make the previous data available to your centre - if registered - so that you can enter the subsequent data.

*Centres in the following countries can contact their national registry data manager directly to request this access if the patient had their prior transplant within the same country:

MED-A paper form merging (Updated 6 Nov 2009)

Below is a zip file containing the necessary files and information to obtain a paper copy of each Med-A submitted to the EBMT, with or without the missing items highlighted. (There are 2 different links depending on which version of Microsoft Office you are using). While for some users obtaining a missing data report is the main reason to use this procedure, other users may want to use the program to print Med-As for JACIE or filing.

Linking the Registry data from your centre to your own database:

Transplant centres may wish to store information which is not reflected in the current EBMT database structure, such as administrative or personal data. In this document we provide step by step instructions on how to set up a "permanent" link between a local database and the downloaded backup of the EBMT centre database:

Click here for a Powerpoint presentation on the EBMT registry database and a visual presentation of the various levels and tables used in the relational structure.

The EBMT Relational Database document gives a written definition of the levels and tables in the structure and should be read in conjunction with the above Powerpoint file.

The next document summarizes the changes implemented to the MED-AB Database in the past six months.
